Understanding the Data Expiry Process

1.Data Expiry Process: -

 

Some information already stored in the system is set to expire according to predefined timelines. To ensure everything stays up to date, users will receive a series of automated reminder emails as the expiration date approaches. Each email includes a direct link to the Uplink portal, where users can review, confirm, or update their information.

When the user clicks the link, they’ll first be taken to the Uplink login page. After logging in, the first thing you’ll see will be sliders 1, which highlight any data that’s approaching expiration—just like the example shown below.

 

 

The user now has two options:

  • 2 Skip the information – This will take the user to the next question. If the user continues skipping, they will eventually land on the Vendor General page, where all expired data will appear as expiry cards at the top of the screen.
  • 3 Click the blue button to update the information – Fields such as dropdowns, input fields, and radio buttons can be updated directly on the slider. However, fields displayed in a list or grid format will redirect the user to their respective pages for updates, as shown in the illustration below.

 

Once the user is redirected to the respective page, a banner will appear for confirmation of all the information on the pages. Users can either confirm that the information is already up to date on the banner 4   or make updates by clicking the pencil icon 6. After the update is completed, selecting the “Confirm” button on the banner will remove the corresponding expiry message from the screen and present the next question in the slider. If the user clicks the back button 5   they will return to the same slider screen they were previously on.

 

7 If the user updates the data via the card by 8 clicking the blue button, they will be redirected to the respective page to make the changes. Once the update is completed, the card will disappear from the screen.

2.Types of Expiry Cards in the System

There are three types of expiry cards that indicate the status of your information:

  • No Color (Newly Expired): This card appears when your information has just expired in the system. It's a gentle reminder that action is needed.
  • Yellow Card (Warning): After two weeks of no update, the card turns yellow. This serves as a warning that your information is still outdated. The system will continue to send you reminders as per the configured timeline.
  • Red Card (Final Warning): This card indicates that the information has been expired for a longer time. If not updated soon, your status may no longer be considered in good standing within the system.
